Plan your next career step with KWS Seeds, LLC. We are seeking to recruit at the earliest opportunity an Executive Assistant on a permanent, full-time basis in Bloomington, MN, USA.

 

Summary / Purpose:

Provide executive level administrative support to the Managing Director, VP of Sales, and Director of Marketing. This position is also responsible for providing administrative support for the KWS Seeds, LLC Leadership Team during conference calls and quarterly off-site meetings.  This role is responsible for providing administrative support for the semi-annual off-site meetings for the VP of Sales as well as various off-site meetings for the Sales team.

 

Essential Job Functions:

  • Manage, identify, and clarify requirements for special projects, events, and speaking engagements; research options; coordinate and confirm reservations for travel, dining, lodging, entertainment, rentals, transportation, events, couriers, other services; schedule meetings, luncheons and conferences; and plan and coordinate logistics.
  • Liaison for communications with the executive leadership, staff, external clients, and the public.
  • Draft, edit, and review internal and external correspondence, e-mails, reports, publications, and media for internal and external clients and the public, as well as capture notes from meetings, etc.
  • Manage spreadsheets for tracking, ability to work with and understand general financial reports, processing and classifying corporate card expenses and invoices.
  • Collaborate and coordinate on process improvement and development of content for projects.
  • Establish professional relationships with key stakeholders of the company, local and international.
  • Manage multiple projects simultaneously ensuring that deadlines are met. Prioritize work by evaluating risk, importance, urgency, and potential business, organizational and/or client implications.
  • Utilize expert time management skills and expert judgment to conserve time by screening, researching, and managing correspondence, messages, telephone calls, and clients; preventing interruptions; and resolving issues.?
  • Research, collect, and analyze business data. Utilize technical expertise to generate applicable communications and reports.
  • Event planning is a key function of this role.
  • Meet attendance requirements.
  • Other administrative duties as needed by the business.
     

Skills and Competencies:

  • Bachelor's degree or equivalent executive administrative experience.
  • 5 to 7 years’ experience providing executive administrative support.
  • Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines. Ability to work with tight timelines and short notice.
  • Ability to communicate effectively (verbal, written, and presentations) with executive leadership, staff, and internal and external clients.
  • The ideal candidate is a confident self-motivated executive administrative professional who thrives in a challenging fast-paced professional environment.
  • Proactive and exercise sound judgment and decision making. Demonstrated ability to analyze, identify problems and needs, and develop solutions and/or options.
  • Excellent interpersonal skills.
  • Proven intermediate to advance proficiency with Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook, Publisher, etc.), Microsoft SharePoint, and ability to learn and work with other software programs. (Marketing Cloud a plus for Marketing department support.)
  • Demonstrated ability to maintain confidential and sensitive data.
  • Experience conducting research utilizing traditional, online, and creative methods.
  • Ability to travel overnight to support leadership team endeavors and business priorities.

The employee must frequently lift and move up to 10 pounds and occasionally lift and move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
