About the role

We are looking for a Fleet Support Officer to join the growing team on a permanent, full-time basis.

We're looking for a high calibre, "hands on" administrator, who'll be responsible for supporting day to day operational fleet activities and monitoring fleet processes to ensure that our fleet of over 2,000 vehicles is run effectively, policies and procedures are understood and applied and that issues are identified and addressed in a timely manner.

You'll have support from a Fleet Operations Manager and an external Fleet Management Organisation and be key role in our Fleet Team. This role drives a great customer experience for our staff and financial prudence to Elders through a timely service response, accurate records and master data, and invoice management.

We're looking for someone who has an interest in continuous improvement, and can drive it. Someone with excellent organisational skills, attention to detail, loves data and owns the issue. You'll have the chance to make this role your own and help develop our future ways of working.

Responsibilities

  • Maintain accurate master data on a timely basis and liaise with suppliers, the Fleet Management Organisation (FMO) and drivers to do so
  • Proactively drive improvements to master data through identification of errors and missing data
  • Perform financial administration for fleet invoices - processing monthly invoices within our system in a timely manner and liaising with suppliers and stakeholders for more information if required
  • Manage the Fleet Inbox for Elders and be the day-to-day contact point for the FMO
  • Answer fleet queries from all sources promptly and in an appropriate manner according to the service level agreements agreed by the Fleet Team and business stakeholders and the Policy
  • Balance the requirements of stakeholders and drivers with the Policy and cost effective solutions
  • Contribute to process improvement activities either day to day or through projects
  • Assist the Fleet Operations Manager as required to perform tasks such as forecasting, allocating and ordering vehicles and accessories, managing suppliers and stakeholders
  • Drive a customer focus across all interactions and develop effective relationships with internal and external stakeholders at all levels

About you

  • Minimum 5 years' experience in an administration, contracts, data management or similar role
  • Highly developed organisational skills, attention to detail and willingness to follow process
  • Ability to manage multiple competing priorities at once and succeed in delivering outcomes in a timely manner
  • Demonstrated focus on the customer and stakeholder experience and happy to pick up the phone
  • Excellent written and verbal communication skills
  • Highly proficient in MS Office including Teams and Excel, including basic financial analysis
  • Ability to manage and build effective relationships with stakeholders at all levels
  • Self-motivated, reliable, and collaborative
  • A desire for improvement, understanding how problems occur and working through possible solutions until they are solved
  • Ability to proactively work through conflict with others, anticipate issues and requirements and influence stakeholders is desirable
  • Experience processing routine invoices is well regarded and must have a willingness to do so
  • Fleet experience highly regarded but not essential
  • Continuous improvement experience well regarded
